Graduation party photo sharing: how to collect your guests’ photos with a QR code
Published October 26, 2026 · By the Guest.Gallery team
At a graduation party, nearly every guest has a phone out: classmates in their caps and gowns, grandparents posing with the graduate, teammates and bandmates, relatives who drove in for the weekend. Most of those photos stay on the phones they were taken with. This guide shows how to gather them in one place with a QR code: why they go missing, how to set it up, sign wording you can copy, how long to keep uploads open, and how to download everything afterward.
Guest.Gallery is our own service, and it costs money. The steps are the same for a high school, college or grad school party, whether it’s an open house in the backyard or a dinner at a restaurant.
Why guest photos go missing at a graduation party
A graduation party is often looser than a wedding, and that’s part of why the photos scatter:
- Guests come and go. At an open house, people drop by for an hour at different times. Nobody is there for the whole party, so nobody sees every photo.
- There’s often no photographer. Many families don’t hire one for the party, so the guests’ phones are the only record of it.
- Friends post to stories, not to the family. Classmates film the toasts and the group shots and share them on social media. Stories disappear, and the family may never see them.
- The ceremony and the party are on different days. Commencement photos sit on one set of phones and party photos on another, and relatives who came for the ceremony may have gone home before the party.
- Messages shrink the files. Group chats often compress photos and videos, so the copy that reaches the family isn’t the original.
One shared place, reached from one code, keeps them together, and the graduate gets the photos their friends took, not only the ones their parents did.
How to set it up, step by step
- Create the event. Choose a plan, then add the graduate’s name and the date of the party. That date decides when uploads open and how long they stay open, so use the date of the party itself.
- Print a sign and table cards. Your event comes with a QR code you can print on cards. Put a sign at the entrance or by the memory table with the graduate’s photos, another by the food, and a small card on each table. Print one first, scan it with your phone and check that it opens your event.
- Put the QR code on the invitation or announcement. If you send graduation announcements, printed invitations or a digital invite, add the code or the short link so guests have it before they arrive.
- Mention it once. When the graduate or a parent says a few words, add one sentence about the code. There’s wording for it below.
- Send the link again afterward. A text to the family and to the graduate’s friends a few days later brings in the commencement photos and the ones people forgot they took.
Our birthday QR code guide has more ideas for where to put the cards and how to test them.
Sign wording you can copy
Replace [Name] with the graduate’s name and [short link] with your event’s link. Keep the sign short: guests read it in passing, often with a plate in one hand.
Congratulations, [Name]! Took a photo today? Scan the code with your phone’s camera and add your photos and videos to [Name]’s graduation album. No app to install, no login. Or go to [short link]
Have photos from commencement, senior year or today? Scan the code and add them for [Name].
Snap it, scan it, share it. Scan the code to add your party photos and videos.
Before you go: if you took photos or videos today, or at commencement, [Name] would love to have them. Scan the QR code on your table and upload them. There’s no app to install and no login, and the link stays open for weeks, so you can add more from home.
Thank you for celebrating [Name]! If you have photos or videos from the party or from graduation, you can add them here: [short link]. No app, no login.
When to open uploads, and how long to keep them open
Uploads can open up to 14 days before the event date. If commencement is in the two weeks before the party, guests can add their ceremony photos before the party starts.
After the party, keep uploads open for weeks, not days. Graduation season is busy: many guests go to several parties in the same few weeks, and the graduate’s friends leave for summer jobs, trips and college. Uploads stay open until the archive date shown in your account: up to 3 months after the event date on Basic, and up to 12 months on Premium. Either plan leaves time for a couple of reminders.
Basic includes 25 GB shared between photos and videos. Premium has unlimited uploads, subject to fair use for private events, which our terms describe as up to 100 guests and an expected allocation of up to 1 GB per guest. An open house can bring more people than that over an afternoon, so if you expect more than 100 guests, compare the plans and contact us before the party.
Two things to keep in mind:
- Check the event date before uploads open. Once they’ve opened, the date can’t be changed.
- Send a reminder a few days after the party and another a couple of weeks later, with the same link.
What your guests see
Guests scan the code with their phone’s camera, and your event’s upload page opens. They pick photos and videos from their phone and add them to the graduate’s gallery. They don’t install an app or create a login, which helps when the guests range from classmates to great-grandparents. On an iPhone, the code may open an App Clip, a small part of an app that opens without being installed. If the signal is weak, guests can upload later from home: the photos stay on their phones until they do.
Downloading everything afterward
From your event admin, you can download all the photos and videos as one ZIP file. We keep the original files your guests uploaded during your plan period. The previews in the gallery may be optimized, but the download contains the originals. For a large event, preparing the ZIP can take 30 minutes or more, so download it on a computer, with time to spare, well before the archive date. Then keep a copy somewhere else, such as an external hard drive, because the gallery isn’t meant to be a permanent archive. If the graduate is moving away for college or work, give them a copy too.
Questions and answers
Do guests need an app to share graduation party photos?
No. Guests scan the QR code with their phone’s camera and upload photos and videos without installing an app or creating a login. On an iPhone, the code may open an App Clip, which opens without being installed.
Can guests add photos from the graduation ceremony?
Yes, while uploads are open. Uploads can open up to 14 days before the event date of the party and stay open until the archive date, so guests can add commencement photos along with the party photos.
How long should we keep uploads open after the party?
For several weeks, so guests who go to many parties in the same season have time to catch up. Uploads stay open until the archive date shown in your account: up to 3 months after the event date on Basic, and up to 12 months on Premium.
Can guests upload videos as well as photos?
Yes. Guests can upload both photos and videos. On Basic, the 25 GB is shared between photos and videos, and long videos take up the most space. Premium has unlimited uploads, subject to fair use for private events.
Our open house will have more than 100 guests. Which plan fits?
Basic is limited by storage, 25 GB shared between photos and videos, rather than by a number of guests; how far it goes depends mostly on the videos. Premium’s fair use is intended for private events with up to 100 guests and up to 1 GB per guest, so for a bigger open house, contact us first.
How do we get all the photos and videos afterward?
From your event admin, download everything as one ZIP file with the original files your guests uploaded. For large events, preparing the ZIP can take 30 minutes or more. Download it before the archive date and keep your own backup.
Make it part of the plan
Put the QR code on your party checklist next to the invitations, the food and the memory table, and the photos your guests take will end up in one place for the graduate. See how Guest.Gallery works for birthdays and other parties, check the current plans and prices below, or find more guides.
