Quinceañera photo sharing: how to collect your guests’ photos with a QR code

Published October 26, 2026 · By the Guest.Gallery team

Your photographer covers the big moments, but your guests see the day from everywhere else: your grandmother in the back row at Mass, the chambelanes running through the vals one last time, your cousins on the dance floor long after midnight. Most of those photos stay on their phones. This guide shows how to gather them in one place with a QR code: what tends to go missing, how to set it up, sign wording you can copy in English and Spanish, when to open uploads, and how to download everything afterward.

Guest.Gallery is our own service, and it costs money. Every family celebrates a quinceañera its own way, so treat the order of the day here as a guide, not a rulebook.

Why guest photos go missing at a quinceañera

A quinceañera is usually a long day, and nearly everyone takes pictures. Many families include some of these moments, and each one is easy to lose:

  • The Mass or ceremony. Many quinceañeras begin with a Mass of thanksgiving or a blessing. Guests take photos from the pews and the back, angles your photographer can’t cover at the same time.
  • The vals. The waltz with the chambelanes, and often with her dad, is the moment everyone films. There may be dozens of videos of it, and many never reach the family.
  • The changing of the shoes. In families that keep this tradition, a parent swaps her flat shoes for heels. It’s quick and close-up, so the best shots usually come from whoever was standing nearest.
  • The surprise dance. Many quinceañeras end the formal part with a surprise dance, sometimes after an outfit change. Her friends film it from the dance floor.
  • Family photos. Aunts, uncles, padrinos and grandparents take their own group shots at the tables. Those are the pictures families go looking for years later.

After the party, the photos end up spread across group chats, social media stories and dozens of camera rolls. Group chats often compress photos and videos, and stories disappear. One shared place, reached from one code, keeps them together.

How to set it up, step by step

  • Create the event. Choose a plan, then add the quinceañera’s name and the date of the party. That date decides when uploads open and how long they stay open, so use the date of the main celebration.
  • Print a sign and table cards. Your event comes with a QR code you can print on cards. Put a sign at the entrance and another by the cake or the photo backdrop, and a small card on every table. Print one first, scan it with your phone and check that it opens your event.
  • Put the QR code in the invitation or program. If you’re printing invitations or a program for the Mass, add the code or the short link there too, so guests have it before they arrive.
  • Ask the MC or DJ to announce it. One short announcement at a good moment, for example right after the vals or just before the surprise dance, reaches everyone at once. There’s wording for it below.
  • Ask someone to help. A cousin, one of the damas or a padrino can point guests to the code and help the grandparents scan it.

Sign wording you can copy

Many quinceañeras bring together guests who are more at home in English and guests who are more at home in Spanish, so here is the same message in both languages. Use one, or print both on the same sign. Replace [short link] or [enlace corto] with your event’s link.

For the MC or DJ
If you took photos or videos today, at Mass, during the vals or out on the dance floor, the family would love to have them. Scan the QR code on your table and upload them. There’s no app to install and no login, and you can do it from home tomorrow too.

When to open uploads, and how long they stay open

Uploads can open up to 14 days before the event date, so guests can also add photos from the vals rehearsals, the dress fitting or a photo shoot before the party. After the party, uploads stay open until the archive date shown in your account: up to 3 months after the event date on Basic, and up to 12 months on Premium.

Basic includes 25 GB shared between photos and videos. Premium has unlimited uploads, subject to fair use for private events, which our terms describe as up to 100 guests and an expected allocation of up to 1 GB per guest. Many quinceañeras have more guests than that, so if you expect more than 100, compare the plans and contact us before the party.

Two things to keep in mind:

  • Check the event date before uploads open. Once they’ve opened, the date can’t be changed.
  • Send one reminder a few days after the party, with the same link. Many guests upload once they’re home and have time to go through their camera roll.

What your guests see

Guests scan the code with their phone’s camera, and your event’s upload page opens. They pick photos and videos from their phone and add them to your gallery. They don’t install an app or create a login. On an iPhone, the code may open an App Clip, a small part of an app that opens without being installed. If the signal at the venue is weak, guests can upload later from home: the photos stay on their phones until they do.

Downloading everything afterward

From your event admin, you can download all the photos and videos as one ZIP file. We keep the original files your guests uploaded during your plan period. The previews in the gallery may be optimized, but the download contains the originals. For a large event, preparing the ZIP can take 30 minutes or more, so download it on a computer, with time to spare, well before the archive date. Then keep a copy somewhere else, such as an external hard drive, because the gallery isn’t meant to be a permanent archive.

Questions and answers

Do guests need to download an app to share quinceañera photos?

No. Guests scan the QR code with their phone’s camera and upload photos and videos without installing an app or creating a login. On an iPhone, the code may open an App Clip, which opens without being installed.

Can guests upload videos of the vals and the surprise dance?

Yes. Guests can upload both photos and videos. On Basic, the 25 GB is shared between photos and videos, and long videos take up the most space. Premium has unlimited uploads, subject to fair use for private events.

When should we open uploads?

Uploads can open up to 14 days before the event date, so guests can add photos from rehearsals or a photo shoot before the party. Check the date first: it can’t be changed once uploads have opened.

How long can guests keep uploading after the party?

Until the archive date shown in your account: up to 3 months after the event date on Basic, and up to 12 months on Premium.

We expect more than 100 guests. Which plan fits?

Basic is limited by storage, 25 GB shared between photos and videos, rather than by a number of guests; how far it goes depends mostly on the videos. Premium’s fair use is intended for private events with up to 100 guests and up to 1 GB per guest, so for a bigger quinceañera, contact us before the party.

How do we get all the photos and videos afterward?

From your event admin, download everything as one ZIP file with the original files your guests uploaded. For large events, preparing the ZIP can take 30 minutes or more. Download it before the archive date and keep your own backup.

Make it part of the plan

Put the QR code on your checklist next to the invitations, the cake and the music, and the photos your guests take will end up in one place. See how Guest.Gallery works for birthday parties, check the current plans and prices below, or find more guides.
